User Defined Client [U0229]
User Defined Client is a type of LeasePak client. If you are a beginning LeasePak user or have
not yet worked with LeasePak clients, first read the document LeasePak Client
for introductory information on how to add, change, and delete LeasePak clients.
A User Defined Client may not be deleted if currently assigned to any lease and/or application.
User Defined Client [U0230], in combination with Custom Code [U0722], enables the creation of user defined client types and clients
belonging to those types. You can attach a User Defined Client to a lease through
New Lease [U0101]: Book Lease or
Master Financial [U0202] and to an application through
Tab 2: Relationships/User Defined Fields of
Application Tabs [U0801].
User Defined Client Relationship Codes
Before creating a User Defined Client, you must create one or more relationship codes under the Custom Code category
UD_CLIENT. For more information, refer to Custom Code [U0722].

Type the category name UD_CLIENT or click
to select from
the list. To speed up selection, you can type UD to move down the list to UD_CLIENT.
The Code Value list will display any existing User Defined Client relationship codes.
Click Add to create a new relationship. LeasePak will display the Custom Code screen:

Type a Code Value and Code Description, then click OK to add the code. Code Values must be 3 characters; Code Descriptions
can be up to 20 characters.
Although the standard LeasePak Custom Code (Code Value)
is 4 characters and you can type 4 characters into the Code Value field, you must make User Defined Client codes 3 characters
or you will not be able to use them for the User Defined Client [U0229] update.
User Defined Client Fields
To access User Defined Client [U0229], from the LeasePak menu select Updates, Maintenance, User Defined Client [U0229]. Use
the standard LeasePak Client screens to add a new client or clone from an existing
client.

Field Definitions
- Number
- LeasePak required field. LeasePak alphanumeric ID for the User Defined Client (UDC). LeasePak either assigns this
automatically (as a sequential number), or you enter it manually, depending on your
Client Numbering Method
(Custom General [U0712], Miscellaneous). If you are cloning the UDC from
another relationship, making changes will update the Number for all relationships. In this case, LeasePak will
display a warning message prior to completing the update. For new UDCs using the automatic numbering method, LeasePak
will display this as <Auto>. Maximum length is 9 characters.
- Short Name
- LeasePak required field. Index-style name used for
Client Search. If the UDC name is a personal
name, use the format Last Name, First Name for the Short Name (for example: SUAREZ, MARIA J.).
If you are cloning the UDC from another relationship, making changes will update the Short Name for all
relationships. In this case, LeasePak will display a warning message prior to completing the update. Maximum length
(including punctuation and spaces) is 25 characters.
- SS/Bus ID
- Social Security, Business ID, or Taxpayer ID number for the UDC, if applicable. This number can be used for
Client Search. If you are cloning the UDC
from another relationship, making changes will update the number for all relationships. In this case, LeasePak will
display a warning message prior to completing the update. Maximum length is 20 characters. LeasePak optional field.
- Relationship
- LeasePak required field. Relationship for the UDC, as previously defined in
Custom Code [U0722]. Click
to select from the list. If you are cloning the
UDC from another relationship, note that while a client can have many LeasePak-defined relationships as well as a user-defined
relationship, each client (based on the Number and Short Name) can only have one user-defined relationship. For example, a client
can be a Lessee, a Vendor, and a "Trustee" (user-defined relationship), but it cannot be both a
"Trustee" and an "Executor" (both user-defined relationships).
- Name
- LeasePak required field. Full legal name of the UDC. Maximum length (including punctuation and spaces) is 36
characters.
- Address 1
- LeasePak required field. Primary address field for the UDC. Maximum length (including punctuation and spaces)
is 36 characters. If you are cloning the UDC from another relationship, making changes will update the related
(but not identical) index (rcx table) field Compacted Address 1 for all relationships.
- Address 2
- Secondary address field for the UDC. Maximum length (including punctuation and spaces) is 36 characters.
Optional field; if the UDC address consists of one line, use Address 1 and leave Address 2 blank.
- City
- LeasePak required field. Address city for the UDC. Maximum length (including punctuation and spaces) is 25
characters. If you are cloning the UDC from another relationship, making changes will update the related
(but not identical) index (rcx table) field Compacted City for all relationships.
- State
- LeasePak required field. Address state/province for the UDC. Maximum length is 2 characters. Type the
appropriate 2-character postal abbreviation or click
and select from
the available list. For locations not listed, type FF for "Free Form". The code 'FF' will not appear on invoices
or reports. If you are cloning the UDC from another relationship, making changes will update the
state/province for all relationships.
- Zip
- Required for US, Canada, and Mexico. Address zip or postal code for the UDC. Maximum length is
(including punctuation and spaces) is 9 characters. For US locations, use either the 5-character code or the 9-character code
(without a hyphen). For Canada, use the 6-character code. For Mexico, use the 5-character code. For other locations,
type any code up to 9 characters or leave blank.
- Phone
- Business phone number for the UDC. This number can be used for
Client Search. If you are cloning the UDC from
another relationship, making changes will update the number for all relationships. Maximum length is 10 characters
(the parentheses and hyphen seen in the field are for display only and are not stored with the number).
LeasePak optional field.
- Email
- Email address for the for the UDC. Maximum length (including punctuation and spaces) is 50 characters.
LeasePak optional field.
- Contact
- Contact person for the UDC. Maximum length (including punctuation and spaces) is 36 characters. LeasePak optional field.
- Cont Title
- Title of contact person. Maximum length (including punctuation and spaces) is 25 characters. LeasePak optional field.
- Activity Status
- LeasePak required field. Activity status for the UDC. LeasePak supplies five Client activity statuses:
ACTV (Active), INAC (Inactive), PNDG (Pending), RJTD (Rejected), and TERM (Terminated). You can create additional codes for
the Client Activity Status code category STAT through
Custom Code [U0722]. Status codes must begin
with one of the key letters A, I, P, R, or T. A User Defined Client must have a 'P' or 'A' status prior to attaching it to an
application and an 'A' status prior to booking the application or lease to which it is attached.
Click
to select an Activity Status from the list.
- Letter Version
- LeasePak supplies four Letter Version codes: DU (Dutch), ENGL (English), FRCA (French Canadian), and FRNC (French). Although
document language version is the traditional use of this field, you can appropriate it for a different purpose if required.
Create additional codes for the Letter Version code category LT.VERSION through
Custom Code [U0722]. Click
to select a Letter Version from the list.
LeasePak optional field.
- Default Portfolio
- LeasePak required field. Default Portfolio for the UDC. This can control which LeasePak users have access to this UDC.

- Default Company
- LeasePak required field. Default Company for the UDC. This can control which LeasePak users have access to this UDC.

- Default Region
- LeasePak required field. Default Region for the UDC. This can control which LeasePak users have access to this UDC.

- LeasePak required field. Default Office for the UDC. This can control which LeasePak users have access to this UDC.
