Accounts Receivable Aging [R0606]

The Accounts Receivable Aging report [R0606] lists all leases and shows the present status of their outstanding lease payments plus any assessments The outstanding amounts are organized into the five (5) customizable categories (e.g., current; 1-30 days; 31-60 days; 61-90 days; and 91+ days). The report may be accessed through the Collection/Tracking report menu [R06].

Placement of the lease in delinquency category 1, 2, 3, or 4 (e.g., 1-30, 31- 60, 61-90, 91+) is based on the number of days between the payment due date and the current date, not on the number of months delinquent. Consequently, a lease may be placed in a more delinquent category than expected. For example, assume a lease is delinquent for the July 1 and August 1 payments. On August 31, the lessee is delinquent 61 days and is placed in category 3 (61-90 days), even though only two months are actually delinquent. A switch on the New Lease screen of the Portfolio update [U0212] allows an alternative calculation for number of days delinquent which presumes all months have 30 days. Setting this switch to Y solves the problem described above.

The report is organized by portfolio, company, region, office, or by customer, group and may be selected interactively for:

Accounts Receivable Aging Selection

ALL

Enter X to report on all leases. Leave blank to report on a specific portfolio, company, region, office, lease, customer and/or group. If ALL is selected, leases that belong to a customer or to a group are also reported. However, these leases are sorted by their portfolio, company, region, office, and lease numbers, rather than their customer or group numbers.

ALL CUST
Enter X to report on all customers. Leave blank to report on a specific portfolio, company, region, office, lease, customer and/or group. If ALL CUST is selected, only leases that belong to a customer or to a group are reported (sorted by customer and group).
PORT
Enter the number of the portfolio on which to report. Leave blank if reporting across portfolios.
COMP
Enter the number of the company on which to report. Leave blank if reporting across companies.
REGN
Enter the number of the region on which to report. Leave blank if reporting across regions.
OFFIC
Enter the number of the office on which to report. Leave blank if reporting across offices.
LEASE
Enter the number of the specific lease on which to report.
CUST
Enter the number of the customer on which to report. CUST may not be entered if a portfolio, company, region, office, or lease number is entered. CUST must be entered if GROUP is entered.
GROUP
Enter the number of the group on which to report. GROUP may not be entered if a portfolio, company, region, office, or lease number is entered.

Accounts Receivable Aging Report

The Accounts Receivable Aging report [R0606] reports at the lease level and provides the following information:

LEASE
The lease number is displayed.
LESSEE NAME
The short form of the lessee name is displayed.
DESCRIPTION
The lease description, as entered through the Book Lease option of the New Lease update [U0101] is displayed.
MATURITY DATE
The lease maturity date is displayed.
LAST PMT
The date a lease payment was last processed on the system is displayed.
CURRENT AMOUNT OUTSTANDING
The current amount due is displayed. Pre-payments and advanced invoices (i.e., invoices that have not yet accrued) also appear in this category. A negative amount indicates pre-payments exceeding the current amount outstanding.
1-30 AMOUNT OUTSTANDING
The amount past due from 1 to 30 days is displayed.
31-60 AMOUNT OUTSTANDING
The amount past due from 31 to 60 days is displayed.
61-90 AMOUNT OUTSTANDING
The amount past due from 61 to 90 days is displayed.
91 + AMOUNT OUTSTANDING
Amounts past due over 90 days are displayed.

Note: The delinquency period is a customized value. In these examples they are 30, 60, 90 and 90+ days, but other periods may be set, there are a total of 6 delinquency categories. Refer to the DELINQUENCY CATEGORY BOUNDARIES parameters on the third screen of the Miscellaneous Customizations option of the Portfolio update [U0212]
TOTAL OUTSTANDING
The total amount due for the lease is displayed. The total of this column is the balance shown for the Lease Payments Receivable general ledger account on the General Ledger Entries Listing report [R0406].
TOTALS
Page totals for number of leases and all dollar amounts are shown by office. Group totals are shown if customer/group is selected. Region, company, portfolio and grand totals are shown for the number of leases and all dollar amounts. Customer totals are shown if customer/group is selected.
