Vertex-O Journal Update [U0308]

The U0308 Vertex-O Journal Update processes RVS/RWS records within a given portfolio according to status by making an XML call to Vertex-O engine. The XML call is the Distribute Tax Request that tells Vertex-O not only the invoice amounts charged, but also the tax amount for each invoice line item. The Distribute Tax Request call then takes the line item tax amount and breaks it out by jurisdiction when writing it to the tax journal. Each call will have a transaction id assigned to it to monitor the transaction.

U0308 Vertex-O Journal module calls the Vertex-O server using an XML call and waits for the response. When the response is received, if it is true (successful) and Vertex has recorded the transaction in the tax journal, a record will be written to the lease level audit report for RVS and to the asset level audit report for RWS. The U0308 update will also update the RVS/RWS record statuses as completed and move the records to the RVH/RWH table. If the response is false (unsuccessful), a record will be written to the appropriate exception report for the lease or asset.

The update keeps a record of several statuses and processes them according to the following:

• I – In process
  U0308 Vertex-O journal update selects records from the RVS/RWS tables where records status is 'I', processes the RVS table lease by lease and the RWS table asset by asset for that particular portfolio.


• S – Submitted
  In-process records that are for one reason or another cannot be reported to Vertex will be marked 'S' for Submitted. LeasePak will attempt to process these again the next time U0308 runs for the particular portfolio or lease. Lease-level records marked 'S' will have a transaction id consisting of the following:

  2. Asset
  3. Invoice item charge type
  4. Run date
  5. Run time
  
  Asset-level records marked 'S' will have a transaction id consisting of the following:
  
  
  1. Charge type (S/U)
  2. Asset
  3. Sequence number
  4. Run date
  5. Run time


• C – Completed
  The records successfully reported to Vertex-O server will be marked as status C and updates RVS/RWS table records. LeasePak moves the completed records to RVH/RWH table.

For lease and assets that have been removed, LeasePak writes a recrod to the RPE table.

This screen is used to select a lease or a portfolio to process Vertex O transaction to be written to the Vertex O tax journal.

Field Descriptions

Port

Enter the portfolio number to process. Leave blank to process across portfolios.

Lease

Enter the number of a Lease to process. Leave blank to process across leases.

OK

Click Ok to process the Vertex O transaction records of the selection criteria.

Cancel

Click on Cancel button to cancel and close the screen without processing.

Vertex O Journal Lease Exception Report:

LeasePak writes a records to an exception report when a distribute tax event reutrns with unsuccessful response. The exception report will include the columns described below with subtotals by PCRO. The report will be in XML format only.

Seq Num

Invoice number for the Vertex-O event with an exception is displayed.

Type

The type of tax code for the Vertex event is displayed. U – upfront or S – sale of asset.

Pmt Amt

Total payment amount trying to be applied for the Vertex event with an exception is displayed.

Tax Amt

Total tax amount trying to be applied for the Vertex event with an exception is displayed.

Message

Message description of the error encountered is displayed.
